Overview

ConvoClerk is a business messaging platform for managing customer conversations, contacts, automations, and sales workflows. This Privacy Policy explains how we collect, use, store, share, and delete information when businesses use ConvoClerk or when their customers interact with those businesses through channels connected to ConvoClerk.

Who This Policy Applies To

This policy applies to visitors to our website, businesses and team members using ConvoClerk, and customers whose conversations or contact details are processed by a business through ConvoClerk.

Information We Collect

We may collect account details, business profile information, team member names and email addresses, authentication and security data, customer contacts, CRM notes, support requests, billing or administrative details, and usage logs.

When a business connects messaging channels, we may process conversation data such as message content, attachments or media, sender and recipient identifiers, phone numbers, usernames, timestamps, delivery status, webhook events, and related metadata.

For Meta, WhatsApp, Facebook, or Instagram integrations, we may process data authorized by the connected business through Meta permissions, including business account IDs, WhatsApp Business Account IDs, phone number IDs, Facebook Page IDs, Instagram professional account IDs, access tokens, webhook events, message data, and channel configuration.

How We Use Information

We use information to provide and operate ConvoClerk, authenticate users, connect authorized messaging channels, display and route conversations, send and receive authorized messages, maintain contact records, support automations, troubleshoot issues, protect the service, prevent abuse, comply with law and platform requirements, and improve reliability and product quality.

Meta, WhatsApp, And Instagram Data

ConvoClerk only accesses Meta platform data when a business authorizes the connection and grants the required permissions. We use that data to provide the requested messaging, customer support, sales, automation, and account management features for the connected business.

We do not sell Meta platform data. We do not use Meta platform data for unauthorized advertising, profiling, or purposes unrelated to providing ConvoClerk to the connected business. We share Meta platform data only with service providers needed to operate ConvoClerk, with the connected business, or when required for legal, security, compliance, or platform policy reasons.

Businesses are responsible for using ConvoClerk in compliance with applicable messaging laws, customer consent requirements, Meta Platform Terms, WhatsApp Business Terms, and any other channel rules that apply to their use.

AI And Automation

ConvoClerk may offer AI or automation features such as drafting replies, summarizing conversations, classifying contacts, routing messages, or suggesting next actions. These features are used to support the connected business and its customer workflows. We do not use customer message content to train general-purpose AI models unless a business explicitly authorizes that use.

Data Sharing

We do not sell personal data. We may share information with vendors and processors that help us operate ConvoClerk, including hosting, database, storage, email, messaging, analytics, support, security, payment, and monitoring providers. We may also share information with professional advisors, law enforcement, regulators, or other parties when required by law, needed to protect rights and safety, or as part of a business transfer.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, tenant separation, secure token handling, logging, and deletion workflows. No internet service can guarantee absolute security, but we work to protect account, channel, and conversation data against unauthorized access, loss, misuse, or alteration.

Retention And Deletion

We retain information for as long as needed to provide ConvoClerk, maintain security, comply with legal obligations, resolve disputes, enforce agreements, and support legitimate business operations. A business may request deletion of its account data, customer data, or channel data. When a channel is disconnected, ConvoClerk stops receiving new data from that channel unless it is reconnected.

Data deletion requests can be submitted through our Data Deletion Instructions or by contacting us at contact@convoclerk.com. We may retain limited information when required for legal, billing, security, backup, audit, or compliance purposes.

Your Choices And Rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict certain personal data. Businesses can also disconnect authorized channels or request deletion of stored channel data. Customers of a business using ConvoClerk should contact that business directly for requests about conversations or contact records, and we will support the business as appropriate.

International Processing

We may process and store information in countries other than where it was collected. When we transfer information internationally, we use safeguards appropriate for the type of data and applicable law.

Children

ConvoClerk is intended for business use and is not directed to children. We do not knowingly collect personal data from children under the age required by applicable law.

Changes To This Policy

We may update this Privacy Policy as ConvoClerk changes or as legal, security, or platform requirements change. When we make material changes, we will update the date above and provide additional notice when appropriate.
