Overview
These instructions explain how ConvoClerk users, connected businesses, and customers of connected businesses can request deletion of eligible ConvoClerk data. They also support Meta app review requirements for data deletion and channel disconnect handling.
Request Deletion
To request deletion of your ConvoClerk account data or data associated with a connected business channel, email contact@convoclerk.com with the subject line "Data deletion request".
If you are a customer of a business that uses ConvoClerk, contact that business first for requests about your conversations, contact record, or message history. We will support the connected business as appropriate after it verifies the request.
Include
- Your name and business name.
- The email address used with ConvoClerk.
- The channel, page, phone number, Instagram account, or WhatsApp account involved.
- Whether you want account deletion, channel disconnection, or specific data removal.
- Any information needed to verify that you are authorized to make the request.
Connected Channel Data
If you disconnect a Meta, WhatsApp, Instagram, Facebook, email, web chat, or other connected channel, ConvoClerk will stop receiving new data from that channel unless it is reconnected. You may also request deletion of eligible data previously stored from that channel.
What We Delete
Eligible data may include account profile data, business profile data, customer contact records, conversation history, attachments, channel configuration, access tokens, webhook events, message metadata, and other stored data associated with your account or connected channels.
Processing
We will verify the request and delete, anonymize, or de-identify eligible data within a reasonable time unless retention is required for legal, security, billing, backup, audit, dispute resolution, fraud prevention, or platform compliance reasons.
We may ask for additional information before processing a request when needed to confirm identity, account ownership, channel authorization, or the scope of the deletion request.
Confirmation
After we process a request, we will confirm the action taken or explain why certain data must be retained. Backup copies may remain for a limited period before they are overwritten or deleted through normal backup rotation.
